To support the Guest Relations Manager in heading up the Accommodations, Experiences and Guest Relations. This role combines strategic oversight with hands-on management, driving operational efficiency, leveraging data-driven insights, and a deep commitment to the Boschendal culture. The Front Office Manager will drive the development and execution of Accommodation hospitality services that align with the farm’s values and business objectives
Other responsibilities will include the smooth running and effective operations of all accommodation offerings. Team training plans, identifying and implementing policies and procedures to achieve optimal output ensuring Guest satisfaction within all accommodation areas.
KEY DUTIES AND RESPONSIBILITIES INCLUDES BUT ARE NOT LIMITED TO:
- Ensure that standard operating procedures have been implemented in each accommodation area according to brand standards.
- Ensure that employees work in a supportive and flexible manner with other departments, in a spirit of the company values.
- Ensure accommodation teams are organised and supervised in the front office and guest relations space.
- Ensure lost property is recorded and kept according to company standard
- Feedback to be provided to the line manager reporting on all complaints and glitches during a guest stay and responses are sent timeously to guests who provided feedback on their stay.
- Support the Guest Relations Manager to manage preventative maintenance program for all accommodation outlets.
- To be aware of the day’s business both in Room Occupancy, Special Requirements and VIP needs and liaise with all team members
- Regularly Inspect all Guest recreational areas for cleanliness, appearance and to make sure these areas are kept as per the company standard
- Ensure that company standards for guest services and décor are met or exceeded.
- Maintain a par stock levels of stationary, linen and amenity requirements in order to ensure consistency in standards.
- Supporting the AGM in developing and utilising check lists for regular preventative maintenance.
- Supporting the AGM in developing and utilising check lists for regular cleaning and upkeep of guest areas.
- To assist in the development and writing of Front Office departmental standards and improved processes.
Operational Strategy & Continuous Improvement:
- Collaborate with senior management to develop and implement operational strategies that support business goals.
- Identify and implement opportunities for process improvements across accommodation areas.
- Lead cross-functional projects to enhance operational workflows and innovate in the delivery of guest experiences.
- Assist with the budgeting process, ensuring financial targets are met and resources are allocated effectively.
- Utilise data to make informed decisions that enhance profitability and operational success.
- Build and maintain strong relationships with key stakeholders, ensuring clear communication and satisfaction.
Leadership & Development:
- Oversee and assist with all recruitment and selection of all Accommodation FOH employees by following the property guidelines when recruiting and use a competency-based approach to selecting their employees.
- Ensure punctuality and appearance of all Accommodation employees, making sure that they wear the correct uniform and maintain the highest standard of personal appearance and hygiene.
- Maximise the effectiveness of all Team Members by developing skills and abilities through appropriate training, coaching, and/or mentoring.
- Conduct Performance Development Discussions with direct reports through weekly 1:1 session and to support them in their professional development goals. Ensure that they in turn conduct weekly Performance Development Discussions with their employees.
- Encourage all accommodation team members to be creative and innovative, challenging and recognising them for their contribution to the success of the operation.
- Ensure that all team members follow company and local rules, policies and regulations relating to fire, food, and safety.
Experience & Skills
- Front of House management experience
- Previous hospitality management/supervisory experience in a guest facing environment
- Budgeting and finance background
- Confident, independent decision-maker with a sense of urgency and initiative.
- Prioritizing multiple projects in a fast-paced environment, while maintaining a strategic focus on big-picture goals.
- Strong communication and leadership skills, able to motivate and influence a team to achieve high performance standards.
- Analytical thinker with a high level of numeracy, strong problem-solving abilities, and a focus on achieving measurable results.
- A firm, direct, and self-assured individual who excels in managing and delegating tasks, while maintaining close follow-up for quality control.
Qualification
- Matric
- Qualification in F&B Hotel management is preferable
- Must have a valid Driver’s license
