The incumbent is a member of the Events Operations Team and reports directly to the Events Manager. The primary focus of the Events Coordinator is the responsibility of setting up of functions, this includes, but is not limited to executing all Banqueting operations, Weddings and Conferences and any other events by coordinating set up & breakdown on the day.

KEY DUTIES AND RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:

  • Overseeing events breakdown and reporting any damages or missing items to the Events Manager.
  • Responsible for the appropriate and timely set-up of all functions.
  • Record keeping of proof of delivery notes and track proof of payments.
  • Reduce waste and drive responsible consumption.
  • POS ring-ups for every event on the day.
  • Dockets for Files & Management Reports are posted diligently.
  • Cash-ups.
  • Stock counting (OE & Beverages).
  • Running bar service and being able to work as a barman.
  • Complete tasks or instructions from start to finish requested by the Events Manager.
  • Ensure that standard operating procedures are being followed according to brand standards.
  • Ensure all function spaces and storerooms are neat, clean and tidy to ensure full compliance with Department of Health regulations and club standards.
  • Work in a supportive and flexible manner with other departments, in a spirit of the company values.
  • Monitor food and beverage products served throughout the operation and actively search/strive for continuous improvement.
  • Execution of SOPs throughout areas upholding company values
  • Ensuring safety in all areas for guests & staff.
  • Post-event reporting.
  • Wearing the correct uniform and maintaining the highest standard of personal appearance and hygiene.
  • Support the implementation of company policy, demonstrating and reinforcing the company’s Values and Culture Characteristics.
  • Follow, company and local rules, policies and regulations relating to fire, food, and security safety.
  • Attend training sessions and meetings as and when required.
  • Carry out any other reasonable duties and responsibilities as assigned.
  • Report any deficiencies in equipment and facilities.

EDUCATIONAL BACKGROUND:

  • Grade 12 (Matric)
  • Qualification in Hospitality will be advantageous
  • Planning and Control in Food and Beverage Operations.
  • Coordinating of Food and Beverage Operations & Events.
  • Purchasing for Food Service Operations.

WORK EXPERIENCE & COMPETENCIES

  • Previous experience as an Events Coordinator or being an events coordinator’s assistant.
  • In-depth knowledge of the food and hospitality events industry.
  • Hospitality FOH & BOH experience
  • Time management & multitasking
  • Willing to work shifts and overtime hours.
  • Reliable, punctual and honest
  • Must be presentable and neat
