Executive Assistant

The Executive Assistant role is designed to provide administrative and operational support to the Managing Director at Boschendal. The position involves ensuring seamless communication and coordination across various business functions, requiring the utmost discretion and a sharp attention to detail. The ideal candidate will demonstrate a high level of professionalism, exceptional organisational skills, and the ability to manage multiple tasks efficiently. You must thrive in a role that demands flexibility, resourcefulness, and a proactive approach and are a natural relationship builder, understanding the importance of connections in solving complex problems.

 

KEY DUTIES AND RESPONSIBILITIES INCLUDES BUT ARE NOT LIMITED TO:

  • Confidentiality and Discretion:
    • Maintain confidentiality and handle sensitive information with discretion at all times.
  • Communication Management:
    • Filter communication to proactively support the Managing Director.
    • Act as the first point of contact for internal stakeholders, external customers, and suppliers.
    • Draft, review, and send communications on behalf of the Managing Director.
  • Priority Management:
    • Determine the priority of matters for the Managing Director’s attention, by keeping a Master log of actionable items (incl items from meeting minutes, RACI matrix & deadlines)
    • Delegate tasks and set clear boundaries by redirecting matters to relevant departments or handling them personally, as appropriate.
    • Keep the Managing Director advised of time-sensitive and priority issues, ensuring appropriate follow-up.
    • Exercise good judgement in managing and prioritising tasks.
  • Coordination and Scheduling:
    • Extensive calendar, inbox, and meeting management as well as folder and file management is critical.
    • Coordinate any travel and accommodation arrangements.
    • Serve as a point of contact for staff members, clients, and vendors.
  • Documentation and Reporting:
    • Prepare needed documentation and agendas for meetings or presentations.
    • Attend meetings, take notes of discussions, and prepare initial drafts of minutes.
    • Follow up on outstanding action items as per Master Action Log.
  • Operational Support:
    • Streamline processes and procedures to ensure smooth business operations.
  • Assist in supporting multiple projects and initiatives assigned by the Managing Director or wider executive team.
  • Manage ad hoc duties for board members, including accommodation arrangements.

 

QUALIFICATION AND REQUIREMENTS

  • Proven experience as an Executive Assistant or similar role.
  • Hospitality experience (desirable).
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Relevant qualifications: Grade 12 / Matric (essential) or Bachelor of Commerce Degree or equivalent (preferred)
  • Driver’s License (essential)

Offer creative solutions and step in where needed, including occasional assistance with personal tasks.   • Attention to Detail: Detail-oriented with a high level of accuracy in all tasks. Meticulous with details and have exceptional follow-through skills.
